Payment reminder

This is a translation. If it differs from the Bulgarian text, the Bulgarian text prevails.

When a transport is entered, the Service may show subscribers on a paid plan an orange light next to the customer’s details. This page explains what it means, how it is worked out and how a company can dispute it. The light is a reminder to check for yourself, not a statement of debt.

1. What it shows

The message is: “According to the data in the Service, this company has invoices past their due date that are not marked as paid, issued by several different companies. This may mean a delayed payment, but also that the payment is not yet marked or that there is a dispute. Check for yourself.”

Only “yes/no” is shown. The Service does not show which companies issued them, how many invoices there are, their value or when they were issued.

2. What it is not

It is not a statement that the company owes money, not a credit assessment or rating, not a “blacklist” and not a recommendation not to work with it. An invoice can be “not marked as paid” for many reasons: it was paid but the issuer has not marked the payment; there is a dispute about quality or amount; there is a set-off; a longer term was agreed.

The indicator leads to no automated decision: the Service blocks or refuses nothing. Whether to accept the order is entirely your decision.

3. How it is worked out

The indicator is worked out at the moment of the check (when you enter a transport and have given the customer’s company ID or VAT number) and is not stored. It lights up only if all of these hold:

  • the customer is a Bulgarian legal entity: a valid company ID (ЕИК) of 9 (or 13) digits, or a VAT number “BG” + a valid 9-digit company ID. Sole traders and private persons (a 10-digit code, which is a personal number) and foreign companies are not checked;
  • there are at least 5 issued invoices to that company ID that are not marked as paid and are more than 30 days past their due date (the thresholds are 5 invoices, 3 issuers and 30 days; the operator sets them and may change them, and the current values are published here);
  • the invoices were issued by at least 3 different companies, each of which keeps its payments up to date (has marked a payment in the last 90 days);
  • drafts, voided, credited, written-off and deleted invoices are not counted, nor are the invoices of the company that is checking;
  • there is no open dispute for that company ID, and neither the checking company nor the issuers have opted out.

Checks are limited in number and tied to entering an order — it cannot be used to sweep through companies.

4. Who is responsible, basis and data

For this function we are an independent controller, not a processor on behalf of the issuers. The basis is legitimate interest — protecting participants from unpaid receivables — with a documented balancing test (LIA) and impact assessment (DPIA).

We use the status, due date and buyer’s company ID/VAT number from invoices that participants issue and maintain in the Service themselves. The reminder itself is not stored; only disputes (up to 3 years, the general limitation period) and the hourly check counter are kept.

Where an identifier relates to a natural person (for example a sole trader), the rules on personal data protection apply. That is why such identifiers are technically not checked. You have the right to object under Article 21 of Regulation (EU) 2016/679 and to complain to the Commission for Personal Data Protection.

5. Taking part and opting out

Every company can keep its invoices out of the indicator on the “Company and team” page. Then its invoices are not counted and it does not get the reminder either. Taking part is mutual.

6. How to dispute

If you believe the reminder about your company is inaccurate, submit a dispute on the “Dispute the reminder” page (/payment-reminder/dispute) with your company ID and a contact e-mail. From the moment it is submitted the reminder for that company ID is switched off until the case is closed.

We reply within 3 working days. We check the data and, where needed, help the issuers correct the status of their invoices. If the dispute is justified, the data is corrected and the reminder stays off until the conditions in section 3 are met again.

7. Limits

The indicator is based on the data available at the time and may not reflect payments, disputes, set-offs or corrections that are not yet recorded in the Service. It does not confirm the existence, enforceability or amount of any particular receivable. Contact: [e-mail]. Version: 2026-10-20.1.
